The Customer Challenge
 Catholic Charities of the Diocese of Peoria is the official social service agency of the Peoria Diocese, an area covering 26 counties in central Illinois. With nearly 400 dedicated staff members and more than 3,000 caring volunteers, the non-profit organization provides support and care to the most vulnerable, including foster care, crisis intervention, senior services and counseling.
As the organization’s IT Director, Shane White is charged with managing the group’s technology infrastructure to ensure the Catholic Charities team is able to fulfill its mission. With a total of 17 locations, this is no small task.
Catholic Charities has been working with RK Dixon, a market leader when it comes to computer networks and IT solutions, copiers and printers, since the late 1980s. When the task of managing the organization’s printer fleet became overwhelming, White knew he could rely on RK Dixon to get the job done.
“From an IT perspective, printers were the number one headache for me and my team,” said White. “Outsourcing the management of our printer fleet would give us more time to refocus our energies on
other important IT issues.”
The RK Dixon Solution
RK Dixon’s Document Solutions Group routinely works with businesses to proactively manage their printer fleets in order to increase efficiencies and reduce costs. To do this, RK Dixon developed a systematic approach to its managed print services. The three stages are discovery, analysis and fleet management.
“Studies have shown that the total cost of document management can cost a company up to 5 percent of its total revenue, unless carefully managed,” said Mike Hamilton, Senior Business Consultant for RK Dixon. “As a non-profit, Catholic Charities was positioned to
greatly benefit from this type of approach.”
Hamilton and his team began the discovery process by monitoring Catholic Charities’ existing printer fleet, determining the total cost of operations and technical support. This allowed them to analyze the current approach and develop a print management strategy and redesigned workflow to help the organization gain control of their
fleet and dramatically reduce costs.
“Through their analysis RK Dixon was able to show us the exact cost savings we would be able to take advantage of by becoming more strategic in managing our printer fleet,” said White. “That really made it a no-brainer.”
The Results
RK Dixon’s approach allowed Catholic Charities to consolidate its printer fleet across all 17 locations. According to White, the organization reduced the number of printers by roughly 30 percent, which saves the group $5,697 per month.
More importantly, since RK Dixon has taken over the management of the entire fleet, White and his IT team have been able to refocus their energy on more pressing IT issues.
“It has removed that entire layer for us,” said White. “It’s been about a year since RK Dixon took over and that’s one of the things we’re still very thankful for. In some ways it’s almost better than actual dollars saved.” Hamilton and his team have also been able to make
equipment adjustments to Catholic Charities’ changing needs. When the organization closed some of its locations and shifted personnel to other sites, RK Dixon was able to assist throughout this transition to make it as smooth as possible.
“They have done all the work and we’ve really had to do almost nothing,” said Shane. “It has been great!”
