Document Archiving Can’t find that important document when you need it? Don’t waste time searching through filing cabinets and storage rooms, or re-printing lost or inaccessible documents. Our product line is based on cost-effective network appliances that capture documents from virtually any source: Scanned hardcopy – Existing PC files – Email – Web Pages – Fax or I-Fax. Effective document archiving accomplishes three main goals. First, it provides a means to capture digital content and paper documents via scanning devices, and converts the scanned images into digital files for storage. Second, it uses a number of indexing methods, such as index fields (metadata, tags) and OCR (Optical Character Recognition) technology, which extracts text from the images of the paper for full-text search capabilities. Finally, it offers an intuitive and responsive retrieval mechanism to bring back documents and other content when needed. Benefits of Electronic Archives Additionally, electronic archives can contribute to extensive cost savings within an organization. The cost associated with maintaining paper-based archives can be great, and electronic archives can help to significantly reduce this cost. For instance, a well-known study from PricewaterhouseCoopers LLP found that for every 12 filing cabinets in an organization, one additional employee is required to maintain them. Further, while professionals spend only 5% to 15% of their time reading information, they spend up to 50% of their time looking for it. |
